Schedule: Monday–Thursday during church office hours, generally 9:00 a.m.–4:00 p.m., with a 30-minute lunch break
Hours: Approximately 26–30 hours per week, with occasional evening and weekend responsibilities for funerals, meetings, and special events
Pay: Based on experience
Reports to: Senior Pastor
About the Position
The Administrative Assistant supports the ministry of St. Peter’s Lutheran Church by managing the congregation’s day-to-day office operations, including administration, communications, recordkeeping, scheduling, finances, and human resources. This position supports the church staff and congregation while maintaining the highest level of confidentiality. As a frontline representative of the church, the Administrative Assistant conducts every interaction and communication with professionalism, hospitality, and the love of Christ.
What You’ll Do
- Welcome visitors, answer phone calls, respond to emails and voicemails, manage incoming and outgoing mail, and maintain a welcoming office environment.
- Prepare and publish church communications, including bulletins, emails, text messages, phone-tree announcements, meeting materials, calendars, and congregational directories.
- Coordinate facility use by scheduling events, managing rental agreements, maintaining the church calendar, and distributing building keys.
- Maintain insurance coverage and assist with compliance requirements, including background checks, child-safety training, driver files, and human-resource records.
- Order supplies for church activities and maintain office equipment and service contracts.
- Process and record financial transactions, including accounts payable and receivable, payroll, bank reconciliations, monthly treasurer’s reports, sales-tax reports, and journal entries.
- Assist church leaders with annual budget preparation.

What We’re Looking For
- Strong organizational and time-management skills, including the ability to prioritize multiple tasks.
- Careful attention to detail and strong problem-solving abilities.
- Effective written and verbal communication skills.
- Proficiency with Microsoft Office, databases, and basic accounting software, along with the ability to learn new systems quickly.
- The ability to maintain confidentiality and exercise sound discretion.
- Knowledge of church operations and Lutheran traditions.
- Previous administrative experience, preferably in a church environment.
- Knowledge of and experience with financial and nonprofit accounting.
- A high school diploma or GED is required; a bachelor’s degree or equivalent experience is preferred.
Physical Requirements and Working Conditions
This position generally involves extended periods of sitting, speaking, reading, and computer use; moving throughout the church facilities; and lifting or carrying items weighing up to 20 pounds. Work is performed primarily indoors, with occasional evening and weekend responsibilities.
